This Privacy Policy explains how Becreative Marketing Limited ("BetterCRM", "we", "us", "our") collects, uses, and protects personal data when you visit bettercrm.app, sign up for an account, or use the BetterCRM service (the "Service"). We are the data controller for personal data we collect about you, and a data processor for personal data you process through the Service about your own contacts and customers. We comply with the UK GDPR and the Data Protection Act 2018.

3. Personal data we collect
- Account data: name, work email, password hash, company, role.
- Billing data: billing name, address, VAT number, and payment metadata processed by our payment provider (we do not store card numbers).
- Usage data: pages viewed, features used, device, browser, IP address, approximate location, timestamps, referrer.
- Communications: messages you send to support, sales, or community channels.
- Integrations: data you authorise us to access from third-party services you connect (e.g., Slack, email, calendar).

4. How we use your data and our lawful bases
- To provide, operate, and secure the Service — performance of a contract.
- To bill you and prevent fraud — contract and legal obligation.
- To send service notices (billing, security, changes) — contract and legitimate interests.
- To send product updates, tips, and offers — consent (you can withdraw at any time) or legitimate interests for existing customers (soft opt-in).
- To improve and develop the Service, analytics, and benchmarks — legitimate interests in running and improving our business; we use aggregated or pseudonymised data where reasonable.

6. International transfers
Some sub-processors are located outside the UK. Where personal data is transferred internationally, we rely on the UK International Data Transfer Agreement, the UK Addendum to the EU Standard Contractual Clauses, or adequacy regulations, and apply additional safeguards where appropriate.
7. Retention
We keep personal data only as long as necessary for the purposes described, to comply with legal obligations, resolve disputes, and enforce agreements. Account data is retained for the life of your account and deleted or anonymised within 90 days of closure, except where longer retention is required by law (e.g., 6 years for accounting records under UK tax law).
8. Your rights
Under UK GDPR you have the right to: access, rectification, erasure, restriction, portability, objection, and to withdraw consent at any time. To exercise any right, email hello@bettercrm.app. You also have the right to complain to the UK Information Commissioner's Office (ICO) at ico.org.uk.
10. Security
We use industry-standard organisational and technical measures including encryption in transit, access controls, least-privilege, logging, vendor due diligence, and regular reviews. No system is 100% secure; please use a strong, unique password and enable any available 2FA.
11. Children
The Service is not directed to children under 16. We do not knowingly collect personal data from children.
12. Changes
We may update this policy. Material changes will be notified by email or in-product notice at least 14 days before they take effect.
